Appointing a shipping agent in Nigeria: scope, costs and communication

A shipping-agent appointment should establish a working relationship before the vessel’s arrival creates urgency. A company name and an estimated arrival time are not enough to define the assignment. The principal needs to understand which services are included, who can authorise expenditure and how changes will be reported. A clear appointment brief helps the master, operator and shore providers work from the same picture.

Define the agency assignment

Describe the port call, the nominated facility, the cargo operation and the principal’s objectives. Identify whether the request concerns the core port call, husbandry support, or a combination of both. Crew assistance, supplies, spares and specialist attendance each have their own interfaces; include them explicitly when they are required.

Ask which activities the agent will coordinate and which depend on a terminal, port authority or specialist provider. Coordination should not be confused with the authority to approve every operational decision. The appointment should make these boundaries visible, including any services that must be quoted separately.

Read the estimate as a scope document

An estimate is most useful when it explains its assumptions. Review the vessel information, expected operation, proposed attendance and excluded costs. Separate the agent’s own charges from anticipated third-party costs. If a figure depends on a schedule or quantity that may change, identify that dependency rather than treating the estimate as unconditional.

Agree how additional expenditure will be proposed and approved. A short message that simply says ‘urgent’ can leave the commercial decision unclear. A useful approval request states the requirement, the available option, the estimated cost and the consequence of delaying the decision. Preserve that record for the final account.

Build one reporting rhythm

Confirm the operational contact, the escalation contact and the reporting frequency. Reports should distinguish confirmed events from forecasts. ‘Pilot requested,’ ‘pilot confirmed’ and ‘vessel berthed’ describe different stages; compressing them into ‘arrival arranged’ can hide the remaining work.

For a busy call, use a common status format: vessel position or milestone, cargo progress, services scheduled, exceptions, decisions needed and next update. The point is to help the principal act. A long report that conceals an unresolved approval is less useful than a short report that makes that approval obvious.

Close the call with a traceable handover

Before departure, confirm what has been completed and what remains outstanding. Connect supporting receipts, service acknowledgements and operational records to the activities they describe. Where an exception exists, record the owner of the follow-up instead of allowing departure to make it disappear.
