Crew changes at Nigerian ports: planning the ship-to-shore handover

A crew change brings together two moving schedules: the vessel’s port call and each seafarer’s travel. The arrangement can look complete on a spreadsheet while a missing approval, changed berth window or unanswered transport question makes the actual handover uncertain. Planning should follow the person through the journey, with each interface confirmed by the responsible party.

Work backward from the intended handover

Identify the nominated port, the expected vessel position and the intended joining or leaving window. Ask when access can actually be arranged, rather than assuming that a flight arrival automatically creates a boarding opportunity. Establish whether the transfer involves a terminal, a launch arrangement or another authorised access route.

Treat flight bookings, accommodation and local transport as connected decisions. A vessel delay can affect all three. Record who receives schedule updates and who can approve revised bookings. For an illustrative joining crew member, a later arrival may require an overnight stay and a new transfer slot; that is a change to the whole plan, not just one transport leg.

Confirm documents through the right channel

Ask the responsible operator and relevant authorities or service providers to confirm the current documentary and entry requirements for the specific nationality, role and movement. Do not rely on an old checklist copied from a previous call. This guide does not prescribe immigration eligibility, visa requirements or permission to join a vessel.

The initial enquiry can state headcount, intended dates and the broad travel requirement. Personal documents should follow through an agreed secure channel once responsibilities are established. Name the handover contacts

Define who meets the seafarer, who controls access, who receives the person aboard and who confirms completion to the operator. Include a practical contact method and an escalation route for a missed connection or a late vessel change. A driver assignment alone does not confirm the entire ship-to-shore arrangement.

Status updates should describe real milestones: travel confirmed, arrival reported, access authorised, transfer started and handover acknowledged. Where a milestone has not occurred, state the remaining dependency. This keeps the operator informed without implying that a joining or leaving movement is complete too early.

Include welfare and contingency

Plan the waiting period as carefully as the transfer. Accommodation, meals, reasonable rest and a clear explanation of the next step matter when a seafarer has travelled a long distance. Agree how unexpected delays will be handled and how the seafarer can reach the coordinating contact.
