Build a dependable cargo description
Provide dimensions, weight, packaging arrangement and the available technical drawings. Identify the source and revision of the information. If the manufacturer has specified lifting points, centre of gravity or handling restrictions, preserve those instructions for review by the competent parties.
Do not allow a planning estimate to become an assumed verified weight. A quotation based on provisional dimensions should say so. Before the operational plan is approved, the relevant technical contacts need to know which values are confirmed and which require further evidence.
Review every transfer interface
Walk through the proposed movement: ship to quay, quay to storage if needed, storage to transport and transport to destination. Identify who designs and approves the lifting or handling arrangement at each stage. The coordination team should obtain the necessary confirmations without presenting itself as the engineer responsible for every technical approval.
The same item can create different constraints at different interfaces. A terminal may have a suitable handling arrangement while the destination lacks space for positioning or unloading. Ask the receiving site to confirm its own readiness early. A successful discharge does not establish that the final delivery can be completed.
Match the route to the actual load
Refer the proposed load and vehicle arrangement to the responsible transport specialists. Route suitability, clearances, permits and access conditions must be assessed for the real assignment. Do not use an ordinary map route as proof that oversized cargo can travel along it.
A useful route-review summary identifies the route proposed, the assessment owner, unresolved questions and required approvals. If the route or load arrangement changes, reconsider the affected assumptions. Record the dependency before committing to a departure or delivery date.
Use a readiness meeting to resolve decisions
Bring the relevant vessel, terminal, transport and receiving contacts together around one brief. Review lifting responsibilities, access, sequence, communications and the contingency for a missed window. Close the meeting with named actions and a clear owner for each outstanding decision.
