Separate the two requirements
A bunker request should identify the required product specification, quantity basis and vessel receiving contact. A fresh-water request should identify the intended use, quantity and required quality documentation. Do not treat a shared delivery date as proof that both services can be arranged through the same method or provider.
Where the vessel provides a detailed specification, preserve it in the enquiry. If an alternative is offered, refer it to the responsible vessel or technical contact for approval. An available product is not automatically a suitable product, and the person coordinating logistics should not silently make that technical decision.
Connect delivery to the vessel’s real schedule
State the nominated port or facility, expected vessel position and preferred service window. Ask whether the proposed delivery method and access arrangements are accepted for that location. Cargo operations, berth changes and the vessel’s own receiving capacity may affect the practical timing.
Describe the window as provisional until the necessary parties confirm it. For example, a supplier’s proposed morning slot may overlap with another activity aboard. Resolve that conflict before dispatch. The useful outcome is an agreed plan that the ship can receive, rather than a vehicle or barge arriving at an inconvenient time.
Approve the scope before committing
A quotation should show the specification, quantity basis, delivery assumptions and any separately charged arrangements. Clarify what evidence or documentation the supplier will provide and who can authorise a change. Commercial agreement and operational acceptance are related, but they should each be recorded.
Ask how an adjusted quantity or shifted schedule affects the quotation. If the answer is subject to availability, leave that qualification visible in the record. Avoid turning an indicative offer into a firm commitment through a vague acknowledgement. The client should know precisely which option is being authorised.
Finish with an accountable receipt
The vessel’s responsible personnel and the provider should follow their approved transfer arrangements. After delivery, connect the receipt and any quantity or quality records to the approved order. Record discrepancies promptly and identify the contact responsible for resolution.
